Look, we get it
Nobody actually enjoys reading privacy policies. We've tried to make this one less painful. At AetherVeil, we're architects first and we believe in transparency - both in our buildings and how we handle your data. This document explains what info we collect when you work with us or visit our site, and what we do (and don't do) with it.
What Information We Actually Collect
When you reach out to us or browse our site, here's what we might gather:
- Contact details - Your name, email, phone number, and mailing address when you fill out forms or send us project inquiries
- Project information - Site details, budget ranges, design preferences, timelines - basically everything we need to bring your vision to life
- Website usage data - Standard stuff like IP addresses, browser type, pages you visit, how long you hang around. We use cookies for this (the digital kind, not the chocolate chip ones)
- Communication records - Emails, meeting notes, phone conversations about your projects. We keep these so we don't forget what you asked for three weeks ago
- Payment info - When you're a client, we process invoices and payment details through secure third-party processors
We don't collect anything weird or invasive. If we need something specific for your project, we'll ask you directly.
How We Use Your Information
We're not in the business of selling your data. Here's what we actually do with it:
Project Work
Designing your spaces, coordinating with contractors, getting permits, and generally making your architectural dreams happen.
Communication
Responding to inquiries, sending project updates, sharing design proposals, and keeping you in the loop.
Website Improvement
Understanding which parts of our site people actually look at so we can make it better and less annoying.
Legal Stuff
Meeting our professional obligations, protecting everyone's rights, and complying with regulations we can't ignore.
Occasionally we might send you a newsletter about sustainable architecture trends or completed projects, but only if you've opted in. We promise we're not spammy.
Who Gets to See Your Info
We don't share your personal details with random third parties. However, running an architectural practice means working with others:
- Our team - Obviously, our architects, designers, and staff need access to project info to do their jobs
- Project partners - Engineers, contractors, consultants, and other professionals involved in your project. They only get what's relevant to their part
- Service providers - Companies that help us run our business (web hosting, email services, cloud storage, accounting software). They're bound by confidentiality agreements
- Legal requirements - If the law requires it or if we need to protect our legal rights, we might have to disclose information. This is rare but we gotta be honest about it
- Municipal authorities - Building permits and planning applications require submitting project details to city officials. That's just how the process works in Toronto
We'll never sell your email to marketing lists or share your project details with competitors. That'd be pretty uncool.
Cookies & Tracking
Our website uses cookies - small text files that help the site function properly. Here's what's happening:
Essential cookies: These keep the site working. They remember if you're logged in, what's in your inquiry form, basic stuff like that.
Analytics cookies: We use these to see which pages people visit and how they navigate the site. It helps us figure out if our portfolio section is actually useful or if everyone just bounces immediately.
No creepy stuff: We don't use cookies to track you across the internet or serve targeted ads. We're architects, not ad agencies.
Most browsers let you control cookies through settings. If you block them all, some parts of the site might not work perfectly, but you'll still be able to contact us and view our projects.
How We Protect Your Data
We take security seriously, though no system is 100% bulletproof. Here's what we do:
- Secure servers with encryption for storing client files and project data
- Password-protected access to our internal systems with regular security updates
- Encrypted email communication for sensitive project information
- Regular backups so your project files don't disappear into the void
- Limited access - only team members working on your project can see your info
If there's ever a data breach (knock on wood), we'll let you know ASAP and explain what happened and what we're doing about it.
How Long We Keep Your Information
We don't hold onto your data forever. Here's our general approach:
- Project files: We keep these for 7 years after project completion - that's standard practice in the architectural field and helps if you need to reference something later
- Inquiry forms: If you contacted us but didn't move forward, we'll keep your info for about 2 years in case you change your mind
- Financial records: Tax laws require us to keep invoices and payment records for 7 years
- Marketing data: If you're on our newsletter list, we keep your email until you unsubscribe
After these periods, we securely delete or anonymize the data. If you need us to delete your info sooner, just ask - we might need to keep some stuff for legal reasons, but we'll delete what we can.
Your Rights & Choices
It's your data, and you've got rights. Under Canadian privacy law (PIPEDA), you can:
Ask us what personal data we have about you
Update any inaccurate information we're holding
Ask us to delete your data (with some legal exceptions)
Unsubscribe from marketing emails anytime
Change your mind about data usage permissions
Contact the Privacy Commissioner if you're not happy
To exercise any of these rights, just email us at info@aetherveilx.info or give us a call. We'll get back to you within 30 days.
Links to Other Sites
Our website might link to other sites - manufacturer pages, supplier catalogs, planning resources, that sort of thing. Once you click those links, you're on their turf and this privacy policy doesn't apply anymore. We're not responsible for how they handle data, so check their policies if you're concerned.
International Data Transfers
We're based in Toronto and primarily work with Canadian clients, but some of our service providers (like web hosting or cloud storage) might have servers in other countries, including the US. When that happens, your data might be subject to different privacy laws. We make sure any international transfers meet Canadian privacy standards and that our providers have adequate protections in place.
Changes to This Policy
We might update this privacy policy from time to time - usually when laws change or we adopt new technologies. When we make significant changes, we'll post a notice on our website and update the date at the top. For major changes, we'll email our active clients directly. We won't reduce your privacy rights without your consent.
Questions? Just Ask
If you've got questions about this privacy policy or how we handle your data, we're happy to chat. Seriously, don't hesitate to reach out.
